The Common Agricultural Policy (Protection of Community Arrangement) Regulations 1992 as amended by S.I. 2001 No 3198

The Rural Payments Agency, acting in accordance with Commission Regulation 2191/81 on the granting of aid for the purchase of butter by non-profit-making institutions and organisations, hereby gives notice of the records to be kept by a beneficiary (NPO) of butter under the scheme.

- retain Record of Entitlement or equivalent records;
- retain invoices, credit notes and delivery notes relating to butter purchased under the scheme:
- retain prime and supporting documents relating to receipt of subsidised butter;
- record dates of delivery and quantities delivered;
- maintain records to substantiate the number of eligible people entitled to receive subsidised butter up to the maximum quantity specified on the certificates;
- ensure that all records are cross-referenced to the serial numbers of the Certificates of Entitlement.

Such records shall be kept for a minimum period of 3 calendar years, starting from the end of the calendar year to which they relate. In the case of records or documents kept by means of a computer, they should be provided in such a form as may be taken away.
